Leave types can have one or several leave policies. For example, for your annual leave type, you can decide to have a leave policy for your Vietnam office, and another one for you Malaysia office. 

Once you have created all the leave types, you need to make sure they are correctly assigned to the employees.

1. Where can I assign the leave policies to my employees?


You have two ways to do so. 

  1. The first is the assign policy button, used if you have many people to assign for a single leave type. 
  2. The second is the employee profile, if you have many leave policies to assign for a single employee.


1.1. Assign policy button


The first way is within your leave type configuration under HR Lounge, Leaves, Leave policies, and select the leave type. 

You have an "Assign Policy" button under the Tools section.



Here you are able to check everyone's leave policy and make adjustments.


For each person you can choose a policy:


  • Choose "not applicable" if you want this leave type not to appear at all for this person. 
  • Choose from the drop down the right policy. In the drop down, you will only be able to see the policies that the person is eligible to. For example, you will not see a policy that is restricted to Vietnam office if you are changing the policy of someone that belongs to Malaysia office.

You can also check if there is any inconsistent policy. For example, if an employee changes office and therefore becomes ineligible to this policy, you will be able to see a warning there.

Finally, if you select several employees using the tick box on the left, you will be able to assign a policy to all these employees at the same time. A footer with the policy information will appear in the bottom.



1.2. Employee profile


In any employee's profile, authorize HR have access to the Leave Policy menu. 

In that menu you can also check all the leave policies that apply to an employee and change them using the drop down list. 

Similarly to the "assign employee" button, for each policy you can choose:

  • Choose "not applicable" if you want this leave type not to appear at all for this person. 
  • Choose from the drop down the right policy. In the drop down, you will only be able to see the policies that the person is eligible to. For example, you will not see a policy that is restricted to Vietnam office if you are changing the policy of someone that belongs to Malaysia office.
