We're excited to introduce you to the new and improved version of our Onboarding module, designed to provide better performance and user experience. If you're already a subscriber and currently using the Onboarding module, this article will guide you through the process of transitioning to the new version seamlessly.


Understanding the Versions


When you log in to BrioHR and go to the HR Lounge dashboard, you'll notice two versions of the Onboarding module: "Onboarding" and "Onboarding (new)." Here's what each version means:


  • Onboarding: This is the previous version of the Onboarding module, containing all your existing data and records, along with any existing joiners you add.


  • Onboarding (new): This is the new version, currently empty and ready for your new joiners.




Getting Started with the New Version


Q: How do I start using the new version of the Onboarding module?


To begin using the new version, you need to set up your onboarding processes. Follow these steps:


  1. Log in to BrioHR and navigate to HR Lounge.

  2. Click on Onboarding (new) and then select Process.

  3. Create and set up your onboarding processes in the new version by clicking on +New process. 

*Please note that settings cannot be duplicated from the previous version, so ensure you configure the new onboarding settings.




Adding New Joiners and Transitioning Data


Q: How do I add new joiners to the new version, and where will they go?


To add new joiners to the new version of the Onboarding module, follow these steps:


  1. At HR Lounge, go to DashboardOnboarding (new) and activate the toggle named "Enable onboarding (new version)."

  2. After enabling the toggle, any new joiners you add will automatically go to the new version of the module.



Note: You can enable or disable the toggle at any time. If enabled, new joiners added after activation will go to the new version. If disabled, new joiners will be added to the previous version. It is recommended that you enable onboarding (new version), to ensure a smooth and complete transition of all new joiners to the new version of the Onboarding module.



Troubleshooting Transition Issues


Q: My existing new joiners were not transferred to the new version despite enabling the settings. What should I do?


If the settings are enabled, only newly created new joiners will be transferred to the new version. Existing new joiners in the  version will need to be manually transferred. Here's how:


For "Start" Status:

If the onboarding process hasn't started (status is "Start"), follow these steps to transfer new joiners:


  • Go to HR Lounge > DashboardOnboarding - previous version. 

  • Click on the button "Transfer new joiners to onboarding (new version). 

  • Click Proceed to complete the action.
    *Only new joiners at the initiate state will be transferred. Please make sure the new version is set up correctly with an onboarding process as this action is not reversible.



For "Onboarding Ongoing" Status:

If the onboarding process is ongoing (status is "Onboarding Ongoing"), you have two options:


  • Option A

Complete the onboarding process in the previous version. This won't interrupt the process, and data will be saved upon completion.


  • Option B

If the  "Enable onboarding (new version)toggle is enabled, you can reset the new joiner’s onboarding in the previous version. This will automatically transfer the new joiner to the new version but note that all existing data will be removed, and the onboarding process will restart.




Completing the Transition


Q: All new joiners in the previous version have completed their onboarding process. What should I do next?


  1. Ensure you've enabled the toggle "Enable onboarding (new version)" in the new version.

  2. Contact our Support Team via Live Chat or email support@briohr.com and request to disable the previous version of the Onboarding module in your account. Your completed new joiner data will remain intact in the system.
