This is a step-by-step guide on how to set up custom configurations in the Leave module. Custom configurations will supersede the general configuration setting.
Sample provided by end of this article is how to customize entitlement days for employees. If you would like to know how to customize the first and second leave approver, please refer to the link below :
How to customize leave approver for employees?
A) Enable Access Permission
Ensure that you have HR/Admin access to the Leave module in HR Lounge, by following the steps below:
Settings > User Groups > Select User Group > Edit > HR Modules Permission >
- Leave Module > Enabled
- Allow module configuration > Choose the relevant option
- Allow dashboard access > Choose the relevant option
*Note: This is to enable access permission for HR/Admin. NOT for employees. If you already have access to HR Lounge > Leave, go to Part (B)
B) Custom Configure Specific Leave Policy
Next, click on HR Lounge > Leave > Leave Policies > Select Leave Type > Select Policy
Note: These steps must be performed for each policy that requires customization, as the custom configuration will not automatically apply to all policies within the leave type.
At the selected policy, click on Custom Configuration and Select the customization option of your choice.
Options available are:
- Entitlement : to customize entitlement for a specific employee
- Prorated: to customize proration mode and enable/disable this function for a specific employee
- Carry forward: to customize carry forward setting and enable/disable this function for a specific employee
- First Approver: to customize the first approver for a specific employee
- Second Approver: to customize the second approver for a specific employee
- Past Application
- Past Approved Application
- Max Application in Advance
- Min Application in Advance
- Max Consecutive
In this example, the Entitlement is selected.
1. Once Entitlement is selected, select the names of the employees that would have the entitlement customized and click on Next.
2a. Add more days (or reduce number of days) from default entitlement
If you would like to add more days to the current entitlement, add the number of days to the 'Extra days to add' column.
Note: Only add the extra number of days to add, and not the total entitlement amount.
For example, if the employee already has 14 days of entitlement, and you would like to add another 4 days, please input the value "4" in the column, and not "18". If you input the value as "18", the employee will be entitled to 18 days additional days, on top of their current 14 days.
If you would like to reduce the entitlement, at 'Extra days to add' fill in the negative amount as per the screenshot below. Once filled in, click on Apply Customization.
Note: Only input the number of days to reduce, and not the total entitlement amount.
For example, if the employee already has 12 days of entitlement, and you would like to reduce 4 days, please input the NEGATIVE value "-4" in the column, and not "8". If you input the value as "8", the employee will be entitled to 8 days additional days, on top of their current 12 days.
You will be able to see the Status change to Customized and the employee's new reduced entitlement will be 8 days.
2b. Switch to modify days with tolerance amount (overwrite default entitlement)
If you would like to overwrite entitlement amount, click 'Switch to modify days with tolerance amount'
Note: This is to overwrite total entitlement amount.
For example, if the employee's default is 12 days, and you would like to change to 16 days
At field 'Input entitlement amount', add new number of entitlement days.
For example, add in 16 days. This employee's new entitlement days would be 16 days instead of default 12 days.
You will be able to see the Status change to Customized and the employee's new entitlement will be 8 days.
