As the season of generating CP8D is around the corner, here is a quick update relating to our files that can be generated on the system.
In order to generate the CP8D file, you may first refer to the steps listed below:
HR Lounge > Payroll > Dashboard > Quick Actions > Form E/ CP8D > Download > Choose file/format of your choice > Download
However, if you have tried downloading the form and come across an error message like this, please note that this is in relation to a new update we have for the forms.
The Date of Birth of the employees is now a mandatory field on the system especially for employees that are still employed with the company. The system will add 60 years (retirement age in Malaysia) to the date of birth of the employees and automatically fill in the details for Column G (Tarikh Persaraan / Tamat Kontrak).
For employees that have resigned or were terminated in the year of assessment, the system will automatically pull the End Employment date into the CP8D Form, column G.
Note: If the employee is terminated in Year 2024, please note that when the CP8D/Form E is generated for Year 2023, the file will capture the Date of Birth of the employee, as the employee was still an active employee in Year 2023.
Here is an explanation of how the system captures the information for your understanding:
Active employee, Date of Birth: 12 Mar 1983
System will capture Date of Birth + 60 years (retirement age) = 12 Mar 2043 in Column G
Resigned employee, Resignation date : 27 Dec 2023
System will capture the Resignation Date = 27 Dec 2023 in Column G
This is applicable to all employees within the payroll centers, the information for this column is mandatory to be filled in and the error message, if received will notify on which employees do not have the complete information.
Therefore, if you would like to refer to the steps to update this information on the employees profile, you can then refer to these steps below :
1) For Active employees, here is how you update the Date of Birth information
Employee Profile > Profile > Personal Details > Edit > Date of Birth > Fill in details > Save
2) For Inactive/Resigned employees, here is how you update the End of Employment date. You may also refer to this article for the steps.
Employee Profile > Three Dot > End Employment > Fill in the termination date > Save
As for the Employment status in Column F, the employment type assigned to an employee on the system defines the different employment status captured in the CP8D.
The employment type chosen for the employee on the system will reflect in the CP8D files generated based on the configuration set in the screenshot attached below:
