When a Performance Cycle is active and ongoing, the competencies can still be modified. The HR Admin can choose to apply these modifications to the future and current cycles, or only to the current cycle.

To learn more on how to do so, refer to the steps below.



 MANAGING THE COMPETENCIES :  


1. At HR Lounge, click on Performance.



2. Click on the Competency tab.

 A. HOW TO EDIT EXISTING COMPETENCIES / ADD NEW COMPETENCIES? : 


The example shown below is for editing a Core Competency. The same steps can also be applied when :
i. Editing Department Competencies or Job Title Competencies 
ii. Adding new Core, Department, or Job Title Competencies


1. Hover your mouse over the competency you wish to edit.
2. Click on the Edit icon.





3. Edit the competency by adding the new information in the relevant field(s).

(For example, changing the weightage or category.)


4. At the Save options field, choose:


a. "DO NOT APPLY TO CURRENT CYCLE" 

To apply the modifications to the FUTURE cycle only. (NOT the current cycle)


OR


b. "APPLY TO CURRENT CYCLE" > 

To apply the modifications to both FUTURE AND CURRENT cycles.

*TAKE NOTE, modifications applied to the current cycle will affect ongoing appraisals.





5. Click Save to complete the modification.





Once the modifications have been completed, you may hover your mouse over the newly updated competency, to view the updated date and time information.

If you selected "DO NOT APPLY TO CURRENT CYCLE" when saving your modifications, a "briefcase" icon will appear indicating the updated competency was not applied to the current cycle. 


*TAKE NOTE, it will, however, be applied to the future cycle.





If you change your mind and wish to now include the updated competency in the current cycle as well, you may do so by clicking on the "briefcase" icon, and the "Apply" button to confirm the action.


*TAKE NOTE, the modifications will then apply to the current cycle and future cycles. 

Any modifications applied to the current cycle will affect ongoing appraisals.

 B. HOW TO ENABLE/DISABLE DEPARTMENT OR JOB TITLE COMPETENCIES? : 


The example shown below is for enabling a Department Competency. The same steps can also be applied when :
i. Enabling Job Title Competencies 
ii. Disabling Department or Job Title Competencies


1. Click on the toggle to enable the competency.





2. At the "Enable competencies by Department?" pop-up window, choose :


a. "Enable (without applying)" 

To apply the modifications to the FUTURE cycle only. (NOT the current cycle)


OR


b. "Enable (with applying)" > 

To apply the modifications to both FUTURE AND CURRENT cycles.

*TAKE NOTE, modifications applied to the current cycle will affect ongoing appraisals.





Successful application notification :





If you change your mind and wish to now disable the competency, you may do so by clicking on the toggle.





At the "Disable competencies by Department?" pop-up window, choose :


a. "Disable (without removing)" 

To apply the modifications to the FUTURE cycle only. (NOT the current cycle)


OR


b. "Disable (with removing)" > 

To apply the modifications to both FUTURE AND CURRENT cycles.

*TAKE NOTE, modifications applied to the current cycle will affect ongoing appraisals.
