In your role as an HR Admin/Payroll Processor, you have direct access to retrieve the EA form from the BrioHR system.


There are two (2) methods available for obtaining the EA form: you can either download it in bulk or send it to all active employees via email. Additionally, the EA form offers language options, allowing you to choose between Bahasa Malaysia or English.


This article is divided into three (3) parts :


Part 1: Where do I access the EA Form?


Part 2 : How do I release the EA Form for employee to see in their personal Home "Payroll Documents" ?


Part 3 (A) & 3 (B): How do I download or send the EA Form to employees by Email?




PART 1 = WHERE DO I ACCESS THE EA FORM?


Login to your BrioHR account,


1. Go to HR Lounge > Select Payroll




2. Under Quick Actions, click on the Payroll Documents



3. For the Document type, choose EA Form.


  • You'll see the availability of the EA Form from year to year
  • Release EA Form button will be available after we have completed the whole payroll year (from 1st January yearly onward)
  • Send to Email button allows you to send the EA Form in bulk to all active employees or you may choose to send it to specific individuals only.
  • Download EA Form button allows you to download the EA Form in bulk for all active employees or you may choose to download for specific individual only.



PART 2 = RELEASE EA FORM OF PREVIOUS YEAR ASSESSMENT


Once the payroll year assessment has been completed, then you can start releasing the EA form to all employees. Before you can send the EA form by email to all employees, it's compulsory to complete this release procedure.


1. On the EA Form document page, click on Release EA Form




2. A pop out window to confirm release will appear. Click on Proceed





3. Released EA Form is now available for all active employees to download from their personal "Payroll Documents" in their Home page. 

  • You can send the form directly to employees' emails
  • The status from "Not Released Yet" has turned to "Released"





PART 3 (A) = DOWNLOAD ZIPPED EA FORMS FOLDER


If you wish to download zipped EA Forms folder, you can select if you want to download in bulk, or for specific individual only in current payroll center.


The zipped folder will be sent to your email to be downloaded.


1. On the EA Form document page, click on Download EA Form



2. A pop out will appear:


  • Choose a language version that you wish to download : Bahasa Malaysia, or English
  • Choose the EA Form date
  • Select recipients (employees) : You can either select an individual, or select multiple employees.
    (Note: Once the EA Form has been downloaded, you will need to manually send this EA Form to Terminated/Inactive employees) 


3, Once done, click on Download Form to start the downloading process


p/s: Please note it make take a while to process the EA Forms depending on the volume of files.





PART 3 (B) = SEND EA FORMS BY EMAIL TO EMPLOYEES


If you wish to send the EA Forms by email, you have the options to either select several employees or select all. The EA Forms will be sent immediately to the active employees' inbox. But before you can send the EA forms, make sure you have release the form by clicking on "Release EA Form" (refer PART 2)


1. On the EA Form document page, click on Send to Email




2. A pop out will appear:


  • Choose a language version that you wish to send : Bahasa Malaysia, or English
  • Choose the EA Form date
  • Select recipients (active employees) : You can either select an individual, or select multiple employees.
    (Note: Once the EA Form has been released, for Terminated/Inactive employees,you will need to manually send this EA Form to Terminated/Inactive employees) 


3. Once done, click on Send Form to start sending the EA Form to the chosen recipients.




3. The status will turn to "Sent" once you have sent the EA Form to all employees
