Claim Policies allow you to decide what is the claim type, limit, and approval workflow that it applies to and you can assign the claim policy to dedicated employees.  


This article will share the steps below:

A. Create Claim Policy.

B. Configure Claim Policy.

C. Assign Policy.

A. Create Claim Policy


Login to your BrioHR account:

1. Go to HR Lounge.


2. Navigate to Expense Claims.


3. Go to Claim Policies.


4. Click on + Create policy button to create a new claim policy.


5. Input the Policy name (eg. Marketing Department Policy) and click on Create button to create the policy.

B. Configure Claim Policy


1. Click on Marketing Department Policy on the Claim Policies page.


Policy Eligibility


First Section is the Policy eligibility. It allows you to decide who is eligible for this policy. 

  • Eligible to all employees
  • Only restricted to certain groups of employees (eg. specific office, department, gender, job grade, or employment type)




Claim Types & Limit


Second Section is Claim types & limit. It allows you to link the claim type to this policy and set the claim limit for all employees and specific employees that are assigned to this policy.


  1. Include claim type to this policy.
  • Click on Managed included claim types button
  • Tick the check box at left hand side for the specific claim type that you wish to link
  • Click on Save button once done


        b. Set the limit that applicable to all employees that are assigned to this claim policy.

  • Click on + set limit button under limit per transaction/month/year
  • Limit type

            > No limit

            > Follow default policy (Can click the eye icon to check the limit in the default policy)

            > Has limit (Input the max limit amount and decide this limit applies to which offices)

  • Click on + Add limit button if required to set different max limit amounts for different offices
  • Click on Save button once done


        c.  Set the limit that applicable to specific employees.

  • Click on + create custom limit button under custom limit per employee
  • Click on + set limit button under limit per transaction/month/year
  • Click on Apply button
  • Click on Save customization button once done




Approval Workflow


Third section is Approval Workflow. It allows you to select the approval workflow that applies to all employees and specific employees that are assigned to this policy.


        a. Select the approval workflow that applies to all employees.

  • Click on Edit button under the Approval column for Non-grouped Claims and Grouped Claims (Grouped Claims will be available if you have created a claim group)
  • Select the approval workflow
  • Click on Confirm selection button once done


Note: If the existing approval workflow does not meet your requirements, you may click on + Create workflow button to create a new approval workflow. You may decide who is the first approver, add more approvers, and set a threshold if applicable. For more information on how to set the threshold amount for claim approval workflow, click here.


        b. Set the approval workflow that applies to specific employees.

  • Click on + Create custom approval under custom approval workflow for employee
  • Decide who is the first approver and click on + add approver if more approver is required.
  • Tick the check box on left hand side for the specific employee that needs to follow this custom approval workflow
  • Click on Apply customization button once done


Note: You may utilize the replace from approval list button if you wish to use the existing approval workflow that is available in the list.

C. Assign Policy


1. Click on Assign Policy button on Claim Policies page.


2. Change policy for individual employee.

  • Click on the drop down list under the policy column for the specific employee
  • Select the policy that you wish to assign to this employee


3. Change policy for all employees.

  • Tick the check box beside employee
  • Click on the drop down list beside assign policy
  • Select the policy
  • Click on Apply button once done


Note: For existing claim module users, they will be auto assigned to Default Claim Policy.
